She was just a converting machine over there. Highest lead to appointment kept.

I can't wait for the listeners to get to know you, Savannah, to learn from you. As we've already discussed, you've been in the role now for a few years. What have you seen? Like, what's the biggest change that you've seen?
since you started for your position.

When I came in, it was still kind of the height of COVID selling when the market was still very crazy. And so you really didn't have to work for LEAD. You were more so taking orders, setting appointments, and that was it. And now I feel like you really do have to work for LEAD and make sure that you're qualifying them well and checking the boxes before sending them out on site. So I would say that's definitely been the biggest change that I've seen.

Yeah, one of the things that you are super passionate about is that personalization, that connection. Talk a little bit about that. What is your message about that? Why is that personalization and connection so important with your customers?

Mm-hmm.

I think it really helps you to stand out from your competition number one. And then in this market, you really want to have that personalization so that way people, they know that you are not a chat bot because that's such a common thing. AI, chat bots, thing of that nature. And standing out and making sure that people are putting a face to your name is so important. So I'm very big on video emails and making sure that you are making them personalized as much as you can and not just having that template for your day three email. Just little things like that.
into the inquiry that's specific. Make sure you are saying, hey I saw your question about X, and Z and answering it. Just little things can make such a big difference.

Do you think that you get more response that way? Like have you seen more engagement from making that, you know, at the forefront of your position?
Savannah Lynn
For sure, definitely more engagement. And probably in the past year, I've started layering in text messaging with the initial inquiry. So after I leave them a voicemail, I'll follow up with a text message. And I've seen a lot of response from the texting, whether it's like we're communicating via text or thanks so much for reaching out. Like I'll look at your email and get back to you after my meeting, whatever it is. I'd say that would be the biggest change that I've seen and seen the most impact.

Yeah, yeah. And I'm I'm assuming that since you started, I mean, back, you know, during the height of the market, we really you didn't have to do as much outreach, right? Like you didn't have to do the layering of all the things. Yeah.

Right, for sure. It was definitely, was, you call or even just email and it was like, hey, I wanna go on site today at 10 a.m. and it's like, okay, let me just set your appointment. So definitely a big change, literally. First spot, yep.

Yeah, people are like paying you to, can you, can I give you some money so I can get a, so I can buy a home? Yeah. So yeah, you got to do all the things, but I think that makes it so much more rewarding now, don't you?

Yeah, yeah, for sure. Now you were flying solo for quite some time. Solo online sales specialist, on demand, seven days a week, you know, doing all the things. At what point did you know that you needed to bring on another member to your team?

Mm-hmm.

Yeah, so when I first stepped into the OSC role, I actually was in a partnership, so it was a duo of us. And then when she left, I was on my own for a little bit. And it was a big difference between having two OSCs to becoming the only OSC. And you're the one that's having all the leads come to you and making sure that you're there to answer all their questions. And I did have people that would fill in for me. But even still, if there were certain questions that were coming in, they were calling me like, hey, this person asked this. I need you to be able to answer.

this for me. So the work-life balance, completely different between having two to going to being the only one. So that was really the biggest push. And then also with Main Street, we do have a lot of things coming in our pipeline and a lot of growth. And so we just wanted to make sure that our online program had a really solid foundation. So that way when things do pick back up and we are getting a lot more inquiries that we're ready to go and where we need to be with the market.

Yeah. So that's so true. I have to ask you, though, a vulnerable question. Did you have any heartburn about bringing somebody else on and relinquishing some control over doing all the things?

Yes, I definitely did. But I also knew that it did it would work because I had done it before. And I knew the balance that it did create with the work life balance because when you have two OSDs, when you're off, you're off, you know that the leads are being taken care of the way that you would want them to be taken care of. So that really gave me peace of mind.

Okay, good, good. Listen, I know that that's a thing. we hear that, and I can remember putting myself back in the role and just being a control freak and like, nobody can do it as good as me and having to grow the team. But you mentioned work-life balance and being able to have a teammate so that you can take dedicated days off.

and not have to worry about, there's somebody calling in or I gotta check my CRM or I gotta do something, right? There's a lot of, the benefits outweigh any heartburn that you might have. So, you you are a senior online sales specialist. You were promoted to that title. A lot of times we get questions here at Do You Convert about, you know, how do you grow in this position?

I've been in this position for a while, like what's the next step for me, how to grow. And so, you know, essentially right now in your role, you're like a working manager, right? Cause you're still taking leads, you know, you have this teammate that you're overseeing, that you're mentoring. But talk a little bit about what a working manager does. Like how do you structure your day?

Yeah, so it's definitely changed.
It's more about the online program as a whole versus just me now. So I'm not worried about how many appointments am I getting? What are my conversion ratings as much as I am worried about how is our online program performing overall? And what am I doing for Daniel who is our other OSC? What am I doing for him to make sure that he has what he needs to be performing the best that he can perform? So that's been a big change. And I've also really become the bridge between our online program to management.
and marketing. We're having those weekly meetings where I'm sharing trends that we're seeing on a weekly basis of communities or common questions that we're getting for certain communities or this community we've had a lot of traffic, this community we've had no traffic. So really digging into the little nitty-gritty things has become more of a common thing that I'm doing now versus when I was not in senior role. For instance, we had a community that we had listed and we were getting a lot of people calling like, can I have

horses on this property and it was something that I simply just told our marketing team people want to know if we can have horses and we can and so they put in the listing perfect for horses or something like that and it sold within a week so just little things like that can make such a big difference and it's something that you don't really think about and now that I am in this role and I have the second OSC I am able to have more time to be able to dig into those things.

Hmm. Yeah. man, I love that so much. So let me unpack a couple things you said, because I think this is important, some important takeaways. Sometimes we just think of the online sales role, it's just a role or a position in the organization. But really what you're creating is it's a program. It's a program, it's a division within your company, just like there's a sales division, there's a marketing division.

Mm-hmm.

Online sales is its own division and program. And when you have a little bit more bandwidth, like you're saying, like, okay, like I elevated my role to this position to give me a seat at the table, to bridge that gap. You it takes, you have more time to be proactive in working with marketing, working with sales than to just be reactive all the time.

Because like when you were solo and you're just like trying to do all the things alone, some of that kind of gets put to the side, right? Would you agree with those statements? Yeah. Do you structure your day any differently because you are like a working manager overseeing the program?

Yes, my day to day and I would say week to week more so definitely changes. So Daniel, our other OSC, he's off two days a week. And so on those two days, I'm fully the OSC. And so I have to put my OSC hat on at that point. And, you know, I'm taking leads, responding to inquiries, things like that. And then the other three days a week, I'm in meetings or I have more so admin work that I'm doing and making sure that I am tailoring our program to the market and what we have coming with Main Street Homes and different things like that. So

It's definitely changed the day-to-day structure for sure.

Do you, like on the days like when you're both in office, like you're doing some meetings and manage all types of things, do you set yourself up to be like the backup for Daniel? Like where overflow comes to you? Do you guys set anything up like that?
Savannah Lynn
Mm-hmm.
Savannah Lynn
So it's really one day a week that I'm fully in the office. So on that day, Daniel was 100%, he's taking the leads. And then the other two days, it really fluctuates. Sometimes I do have other meetings that I have to be in, but yeah, I take overflow and sometimes I even put myself, if I don't have a lot of admin work, I'll put myself into call rail to get the calls and still alternate. So it definitely varies.

Do you and Daniel have like your huddles between the two of you? Like, are you doing meetings with him? Are you mentoring and coaching him? Talk a little bit about that and how that fills your cup too.
Savannah Lynn
Yeah, it's definitely the growth that I've seen in him. So he got hired at the very end of 2024 and the growth that I have just seen. It's so awesome to see how much more comfortable he is on the phone taking leads. And I mean, you can really see it in his conversion metrics between the beginning of 2025 to the last half of the year. It's insane. But yes, we meet regularly, talk on the phone all the time. And it's really helpful for me to know where he needs some areas

for that I can help him in. But it's also nice for me to be able to share things that I'm hearing in those management meetings that I'm able to attend and just different things like that.

100 % yes It is hard and I'll go to Jen. She is my art director of sales I'll go to her and I'm like Jen I don't know how to handle this or like how should I say this and she's been really great about coaching me and helping me grow in my leadership too, but it is definitely hard and I'm not somebody that is very good. I don't want to call it confrontation, but Being assertive I would say I'm not very good about that So that is something that I really need to grow more into so it

That is something that is, definitely takes some practice. you know, we always talk about online sales specialists in general are people pleasers. Would you describe yourself as that? yeah, right. Like we wanna just, we wanna make everybody happy. We wanna be likable. And I have, I hear this a lot from,

So just if you would just share with our listeners, like, what's your philosophy around prospecting? How do you tackle that? On a daily, weekly basis?

I really had to change my mindset on this one. When I first came into the OSC role and prospecting was a big thing, I was like, my gosh, that's terrifying. Like cold calling people? No, thank you. And yes. And so I did have to change my mindset from I'm going to bother them, I'm going to annoy them to no, I'm doing them a service. They inquired about a home. I'm following up and making sure that we're giving them everything that they need. And so just changing my mindset to that has

has been something that's really pushed me and helped me. And then making sure that I am organized in how I do it. Having my groups in lasso between respond and non-responded and then under both if they have a phone number, if they don't have a phone number. And making sure that I am sending those monthly emails out every single month, following up with a phone call and then sprinkling in some text messages. And how I really like to do it, I kind of make it a game per se where I have a little
I don't want call it scorecard, but it's boxes that I use to check off and I color code between their certain ratings and lasso, if they're responded, if they're aged, if they're VIP, just different things. And that way I can track and see how many calls it does take to get an appointment and also where I am getting the most return. Am I getting the most return calling old VIP leads? Am I getting the most return calling responded, non-responded? Where am I seeing those trends? So...

Well, I love that you're tracking it because, you know, I think if you go into approaching prospecting, prospecting willy-nilly, then you're gonna get willy-nilly results. But also, right, we can all agree that it's hard work. You gotta change your mindset. You're not necessarily, you're not gonna get that quick return. You know, you're not gonna get that high from like calling, you know, 25 people today. But.

If you track it, what I like that you do is that you can look at where is your biggest return on investment of your time. So it kind of helps you structure, right? Like, okay, I'm calling people from three to four on this old VIP list and nothing, like I'm not getting any engagement versus I call from four to five on this particular list and.

I was able to connect with people more. So then it's like, okay, maybe I need to focus my prospecting around this time of day, this particular group, because I'm gonna get the most out of the time, right, the prospecting time.

Yep. Something else that our team has started doing too is we have what we call cobletses.
It's actually the whole sales team and so it'll be we'll have two hours and it's a dedicated hour of calling and Prizes are given out. We'll have like a big pizza party And you'll get prizes for the most calls made the most appointments made and then it runs through the whole quarter from however many appointments you got if they went to contract you get Prizes and gift cards and things like that and I think that that's really helped our team as well with their mindset of prospecting some of them will have their own call blitzes at the

So gets everybody together. Obviously online sales has their own bucket of prospecting that they're doing. focusing on in 2026. You know, we've spent a lot of time thinking about goals, writing them down, coming up with smart goals. We had a whole pod about it a couple episodes ago. But what are you guys focused on this year?

Yeah, last year was definitely focusing because that's when Daniel was starting to take his leads. So it was really focusing and making sure that he was getting comfortable in the seat, that he had what he needed to to best succeed. And now that he's a master at inquiries and setting appointments, I really want to focus more on our conversion and the areas that we might need to improve in. We had about 63 % contribution to overall sales last year, which is great. But what other areas are we not hitting?

Do we need to improve our lead to conversion rates? Do we need to improve our appointment to sale conversion rates? Just different things like that and looking more into the buckets and where we need to improve.

Yeah. Yeah, I love that. So, you know, I think a lot of people I've I talked to their focus this year is improving that appointment to sale. know, we're Amanda's actually wrapping up the benchmarks right now, which will be coming out soon. And, you know, that appointment to sale, you know, in Q3 was 18 percent. It fluctuates like between 18 and 21 percent. You know, so we still say like a goal of 20 percent.

And a lot of people struggle with that number. Like, man, like I want to try to improve that appointment to sale. And my advice to everybody and to you, Savannah, like as you look at those conversion metrics, focus on the behaviors that affect that particular metric. And like appointment to sale, let me ask you if you agree with this. I feel like appointment to sale is like a domino effect of several different things. It's like.

handoff, of course, your communication with your sales team. Like those things affect appointment to sale. Qualification level affects appointment to sale. Setting expectations when you set the appointment. Like, and it's like a domino effect. It's like not just one thing. It's like all of those things come together. So figure out like what's the behavior.

OK, if you could go back in time to your brand new online sales self just starting out. What's one thing you'd like to tell your previous self? Brand new in the role.

I would say to be patient and you don't have to be perfect.
So when I first started taking leads, was nerve wracking for sure. And I thought that I had to have the scripts memorized. If the customer said this, I had to say that. And that's not the case. It's more organic and you want those conversations to be natural and organic and the confidence will come over time as you get more comfortable and you talk to more people. So don't, don't psych yourself out if you're not answering the question exactly right. And you don't have to have the answers to everything.

But one thing about nanny was that she was very clear and kind and direct. You always know where you stood with her. She shared how she was feeling about something, shared her thoughts, shared her opinions, but in a very clear and kind way.

And we kind of talked about this, like developing that clear and kind communication. So here's the skills check, here's the homework. Is there somebody in your organization that you need to have clear and kind communication with? Is it a leader? Is it a marketer? Is it a teammate? Is it a sales team member? You know, don't, you know, sit back and not communicate, right? Let's ramp up the communication.
Let's be clear and kind. Let's always talk, work together as a team. So that's the goal. Practice clear and kind communication. That's a Brene Brown phrase. And I think it applies here. What do you think?
